The Archives of the Congregation of St Joseph (COSJ) in Cleveland, Ohio, seeks an Assistant Archivist for a full-time position. Reporting to the Director of the Archives, the Assistant Archivist will assist with the daily management of the archives, including arrangement & description, preservation, reference inquiries, and will also actively participate in the planning and implementation of relocating several archives to Cleveland. The ideal candidate will be creative, flexible & dynamic with a thorough knowledge of fundamental archival principles and the proven ability of their application.
The COSJ Archives is the repository for the records of the Congregation of St Joseph and for the archives of its seven (7) Founding Congregations: the Sisters of St Joseph of Cleveland, OH; of La Grange Park, IL: of Nazareth, MI; of Tipton, IN; of Wheeling, WV; of Wichita, KS; and of the Medaille Province (Crookston, MN, Cincinnati, OH, and Baton Rouge & New Orleans, LA). The Archives document the charism and ministries of the Sisters from their arrival in the United States from France in the 1850s, to the present time. Founded in 1650 in France to serve “the dear neighbor,” the Sisters of St Joseph in the U.S. traditionally have been leaders in education and healthcare, assisting in and establishing schools, hospitals, and orphanages. The collections document these traditional activities, as well as social justice ministries, including prison ministry, human trafficking, literacy, poverty, environmental issues, etc. Total holdings measure approx. 3000 linear feet and include a wide variety of formats dating back to the mid-nineteenth century.
Appraise, arrange & describe existing backlog, using current archival standards and practices.
Assist with planning and implementing physical relocation of archives currently housed at the various COSJ Centers to the main location at the Cleveland Center.
Participate in design and planning of new Archives space.
Make materials accessible via PastPerfect Museum software.
Add to, edit & refine COSJ Archives Member Info Database (FileMaker Pro).
Respond to requests for information, and assist with researchers.
Evaluate preservation & storage needs of artifacts
Assist in implementing and designing digital image retrieval system.
Assist in converting analog audio-visual materials to digital.
Other duties as assigned.
ALA-accredited Master’s degree in Library Science or Public History, with coursework in archival administration.
Knowledge of fundamental archival principles & practices, and proven ability of their application.
Working knowledge of computer applications, including Microsoft Word and Excel, as well digital imaging & editing software.
Strong communication, organizational, problem solving and planning skills.
Ability to work independently, as well as part of a team.
Knowledge of 19th & 20th century history.
Ability to work with confidential materials.
Physical ability to bend, stretch, & lift 20 pounds.
Two plus years of experience working in archives or special collections (including internships).
Knowledge of relevant religious history and vowed religious life preferred.
Familiarity with processes for the physical preservation of records, documents and artifacts.
Experience with FileMaker Pro & PastPerfect Museum Software.
Available to travel occasionally during archives consolidation process.
