Activate your UBC Card

Activate your UBC Card to give you swipe-access to the Robert H. Lee Graduate School wing, Graduate Breakout Rooms, and MBA Lounge.

  1. Obtain your UBC Card at the Bookstore. We recommend students Apply Online and pick up their UBC Cards to save time.
  2. Email office administration at access@sauder.ubc.ca with the following information:
    • Name
    • Student number
    • Class number (first 5 or 6 digits after the* or 1- at the bottom backside of card)
    • Program Study (i.e. Professional MBA)
    • Program End Date (December 2021)
  3. Please allow up to 24 hours for your card to be activated and if you have any questions, please contact the Office Administration desk at 604-822-1386.

Graduate Breakout Rooms

The Robert H. Lee Graduate School at the UBC Sauder School of Business provides breakout rooms for graduate students to use for group study. These rooms are located in the hallways near the Robert H. Lee Graduate School Office and can be booked online by students for no more than 4 hours at a time. All students should be aware that there are over 300 students eligible to use the Graduate Breakout Rooms (24/7 access). In order to ensure students have equal opportunity to use these rooms, some of the Breakout Rooms usage policies include:

  • Booking must be done via the Breakout Room booking portal.
  • Students who fail to arrive for a room booking within 15 mins of the booked start time will have their booking canceled.
  • Rooms can only be booked for groups of two (2) or more. Please refer to Additional Study Space for individual and additional group study space.
  • Each booking (for a group) must not exceed 4 hours.
  • Bookings must be made by a member of the group who intends to use the room; students cannot book rooms for other students.
  • Upon leaving the room, ensure the door is locked as you leave. If you encounter an issue with the door lock, please see the Robert H. Lee Graduate School Reception, or security desk during off-hours.
  • Robson Square meeting rooms 671 and 673 are also available to be booked online through the Breakout Room booking portal. Available times are: Mon-Fri 5-9pm, Sat & Sun 8am-5pm. There are other spaces available to book at Robson Square but they are subject to fees, and you will be charged if you book them.
  • We ask that students are vigilant about cancelling booking that will not be used, as this eases the stress for the demand of these rooms.

Computer Labs

There are two small computer labs in the basement of the UBC Sauder School of Business. All of the facilities are shared between the Graduate and Undergraduate students (approximately 3,500 students) so access at any time is limited and can be very problematic during the end of term. Activating your Sauder Computer Lab Account: In order to access the computer lab, students are required to set up an UBC Enterprise Active Directory (EAD) account. The EAD login ID is the your CWL username with “.stu” appended to it (e.g, if your CWL is joesmith, your student EAD login ID would be joesmith.stu). Please note that you will have to change your CWL password in order to activate your EAD account. For instructions on activating your EAD account, please visit the Learning and Technology Services (LTS) website. Troubleshooting: If you encounter any problems, please contact the Help Desk, located at HA 451 from 8am – 5pm, Monday thru Friday. You can also contact them at (604) 822-0031 or at help@sauder.ubc.ca.

MBA Lounge

The MBA Lounge is located in Henry Angus 439 and can only be accessed with swiping your activated Student Card. The lounge is equipped with lounge furniture, fridges, and microwaves. It is each student's responsibility to keep this clean and tidy for everyone in the program to use.

Lost and Found Policy

The RHL wing of the Henry Angus building is frequently used by a large number of staff, faculty, and students. With a high volume of traffic coming through this area, personal belongings may get misplaced. The Student Experience Team Program Assistants coordinate a scheduled walk-through of the Robert H. Lee Graduate School (ie. our breakout rooms, classrooms and general shared spaces in the wing) every morning to check for any items that have been left behind from the previous day. As of February 2018, the Lost and Found is currently operating out of the Parking and Access desk inside the UBC Bookstore. The protocol according to the Assistant Operations Manager of Campus Security is that all lost and found items should go to the Parking and Access Desk. Hence, our new Lost and Found Policy is that:

  • Any personal items (e.g. a Student Card or wallet) found in the wing should still be left at the Sauder Security Desk (for identity and/or security reasons)
  • All non-personal items (e.g. a laptop charger or umbrella) found should be collected in the blue-labelled "RHL Lost & Found" box in our office storage room throughout the week. On Friday afternoons, our RHL Receptionist & Office Coordinator will take the box of items over to the Parking and Access Desk at the UBC Bookstore.

Students who use the RHL wing should be informed of this policy:

  • Personal items may be inquired about at the Sauder Security Desk
  • Lost items may be inquired about at the RHL Reception desk until the Friday afternoon of the week that it was lost
  • After Friday, students can inquire about lost items are the Parking and Access Desk at the UBC Bookstore

UBC Sauder Brand, Logo & Trademarks Usage Guidelines

1. Use of UBC Marks by Third Parties in General:

The University of British Columbia’s trademarks and official marks (“UBC Marks”), including the UBC Sauder logo(s) and mark(s) (“UBC Sauder Logos/Marks”), are registered and/or protected marks of UBC and may not be used by third parties without the express prior written permission of UBC.

Office of the University Counsel is responsible for issuing such written permissions/licenses to third parties in accordance with UBC’s Trade-Mark Policy (UP6). Only UBC academic and administrative units can use UBC Marks in connection with UBC activities without a license in accordance with UBC’s Brand Identity Policy (GA7). Accordingly, students wishing to use UBC Marks, including UBC Sauder Logos/Marks, must receive written permission from UBC.

These Guidelines outline the process by which UBC Sauder Students (defined in Section 2) can request permission to use UBC Marks, including UBC Sauder Logos/Marks (see Section 4) and include examples of circumstances where it may be appropriate for UBC to issue such permission (see Section 2).

2. Permitted Uses of UBC Sauder Logos Marks.

Specifically by UBC Sauder Students or Robert H. Lee
Graduate School Students (collectively referred to herein as “UBC Sauder Students”)

As UBC Sauder Students (meaning a person who is presently enrolled at the UBC Sauder School of Business or Robert H. Lee Graduate School in a credit course or who is designated by resolution of the UBC Senate as a student), it may be appropriate for UBC to grant a license in the following circumstances to use either a UBC Mark or specifically a UBC Sauder Logo/Mark where there is an
appropriate connection to UBC, such as:

UBC Sauder Sponsored Student Event:
In connection with a UBC Sauder Student-run activity or initiative where UBC, generally, or UBC Sauder has been involved in supporting or sponsoring such initiative or activity, for example:

A. UBC Sauder is a sponsor or an official partner of such student initiative or activity and has provided either funding or support; or
B. a specific UBC Sauder faculty member(s) has agreed to oversee and/or take responsibility for the actions of the UBC Sauder Student run activity or initiative.

3. Examples of materials Prepared by the UBC Sauder Marketing & Communications Department for use by UBC Sauder Students which do not require a license from UBC:

a. Business cards:
I. It is not permissible for UBC Sauder Students to use UBC Marks, including UBC Sauder Logos/Marks, on their business cards unless such business card was officially issued by UBC for the purpose of indicating the UBC Sauder Student’s employment capacity at UBC, and even in such circumstances the UBC Sauder Student should not use the officially issued UBC business cards for uses where they are not acting in their official UBC administrative or academic capacity (“Non-UBC Related Activities”).

II. UBC Sauder Marketing & Communications has created professional business card templates for use by UBC Sauder Students acting in “Non-UBC Related Activities” to indicate their status as UBC Sauder Students, such as the following examples below. Should UBC Sauder Students wish to obtain business cards using these templates, contact the UBC Sauder Marketing & Communications Department (marcom@sauder. ubc.ca):

b. Presentation to Internal/External Audiences:
UBC Sauder Logo/Marks may only be used on a project presentation by UBC Sauder Students using the template provided by the UBC Sauder Marketing & Communications Department (featured below), if the following conditions are met:

I. the UBC Sauder Student has undertaken the project as part of the academic requirements of their program at UBC Sauder under the direct supervision of a UBC Sauder faculty member; and

II. the UBC Sauder Student has met all other requirements associated with the project (including such matters as securing ethics approvals).

As a condition of this permission, the UBC Sauder Student must ensure that it is clear to the audience that the project is being undertaken by a UBC Sauder Student for a specific UBC Sauder course, and that the conduct of the project is being supervised by a UBC Sauder faculty member, by providing the name and email of the UBC Sauder faculty member. This can be done in smaller print at the bottom of the page but must be reasonably legible.

4. Guidelines

These Guidelines outline how to make a request to incorporate a UBC Sauder Logo/Mark or any other UBC Marks into UBC Sauder Student materials where appropriate for the purposes described in Section 2 above.

a) Approvals:
I. UBC Sauder Logos/Marks:
Any materials (including promotional goods) using a UBC Sauder Logo/Mark must first be approved* by the UBC Sauder Marketing & Communications Department for adherence to the UBC Sauder Brand Rules. If you wish to use a UBC Sauder Logo/Mark, please forward your material for review and approval to the UBC Sauder Marketing & Communications Department prior to publication/production. Please review the Brand Rules prior to ensure materials are aligned.

If the material meets the branding specifications in the UBC Sauder Brand Rules (See: “UBC Sauder Logos/Marks Usage Requirements” below for further information), then the UBC Sauder Marketing & Communications Department will review and may request necessary changes. You can e-mail or deliver proofs of your materials to the UBC Sauder Marketing & Communication Department at marcom@sauder.ubc.ca. Please include a sample of the materials, the audience, how this will be distributed, timing and allow up to three (3) full business days for review. Once the UBC Sauder Marketing & Communication Department has reviewed the request and it meets the branding specifications of UBC Sauder, it will forward this request to the Office of the University Counsel who will make the final determination regarding use of the UBC Sauder Logo/Mark in accordance with the Trade-Mark Policy and issue permission/license where appropriate.

*PLEASE NOTE: The UBC Sauder Marketing & Communications Department reviews only the UBC Sauder Logo/Mark usage, (i.e. its size, placement, color accuracy, etc.) and consults on the brand tone but does not review, approve, or provide resources to assist with the creative concept, layout, content or proofreading of such UBC Sauder Student communications.

b) UBC Sauder Logos/Marks Usage Requirements
Permission to use a UBC Sauder Logo/Mark is contingent upon adhering to the following
requirements:

I. UBC Sauder Students must follow the UBC Sauder Brand Rules and requirements for colour specifications, protective space, minimum size, and reproduction over colored backgrounds. Please take the time to review these detailed specifications and ensure they are applied accordingly prior to submitting the materials for review and approval to the UBC Sauder Marketing & Communications Department.

II. For marketing and communication materials produced by graduate students, the Robert H. Lee Graduate School secondary wordmark must be used in addition to the UBC Sauder Logo/Mark as well as the logo of the student society, club or organization publishing the material. Graduate students should ensure they review the specifications in the UBC Sauder Brand Rules around the joint usage of UBC Sauder and Robert H. Lee Graduate School identities thoroughly and ensure the specifications are followed, such as relative sizing and minimum distance.

III. The UBC Sauder Logo/Mark should not be altered in any way (see “Incorrect Use” in the UBC Sauder Brand Guidelines). For example, individual elements of the UBC Sauder Logos/Marks, such as the door or the wordmark, must not be separated and used in isolation from each other and must not be combined with other graphic elements. Any use of the door as a stand-alone element, must first be approved by Marketing &Communications.

IV. UBC Sauder Communications & Marketing Department will provide you with a brand compliant digital file of the UBC Sauder Logo/Mark to be used for the purpose for which permission is granted.

V. In addition, you must adhere to any other requirements as communicated by UBC Sauder or the Office of the University Counsel to you, including requirements as to placement of the UBC Sauder Logo/Mark on the materials. For example: the placement of the UBC Sauder Logo/Mark should make it clear why it is being displayed (e.g., if UBC Sauder is one of many sponsors, the UBC Sauder logo should only appear on the page that indicates all the sponsors and relative sizing and minimum distance rules must be met).

c) Non-UBC Related Activities Best Practices:
UBC Marks, including UBC Sauder Logos/Marks, should not be used in circumstances where a UBC Sauder Student is producing materials for conducting a Non-UBC Related Activity. The materials should feature the logo of the student society, club or organization publishing the material. Where the Non-UBC Related Activity is being operated entirely by UBC Sauder Students, it would be permissible for the materials to indicate as a factual statement that the group operating the Non-UBC Related Activity is comprised of UBC students (e.g., “AZY Consultant Group, a group operated by students of UBC) and/or include a statement that makes clear that this is a student run initiative/activity/club not endorsed or authorized by UBC or UBC Sauder.

Computers

Personal Computers: It is strongly recommended that all PMBA students purchase and bring their own computer to the program. Students are advised to purchase a laptop over a desktop computer for ease of use on-campus. The principle reason for purchasing your own computer is accessibility, as your PMBA program will require you to produce many papers, projects, and presentations, and there is a lot of group work. If you are considering a tablet or hybrid tablet please make sure it will be easy to use with Excel, Powerpoint and Word. Borrowing Laptops: If you are in a pinch, laptops are available to borrow for up to 4 hours on a first-come first served basis from the Service Desk at the entrance to the Canaccord Learning Commons. Laptops are also available from other UBC libraries. Computer Labs: There are two computer labs in the basement of the UBC Sauder School of Business. All of the facilities are shared between Graduate and Undergraduate students (approximately 3,500 students) so access at any time is limited and can be problematic during peak periods, such as the end of term. In order to use the computer labs, you must have an "EAD Account" (see "UBC Enterprise Active Directory (EAD) Account" section below).

UBC Wireless Network

The UBC Wireless Network allows students, faculty and staff to seamlessly check their e-mail, surf the web and access the UBC network at high-speeds from almost anywhere on campus without plugging in cables. Please refer to Setup Secure Wireless Access (ubcsecure) on how to connect to the UBC Wireless Network.

UBC Virtual Private Network (VPN)

A VPN is sometimes needed to access library databases and other UBC resources. You may need these resources to study and complete projects throughout the program. Once your CWL ID is set up, you can install the UBC VPN using the instructions here.

Student Service Centre (SSC)

The UBC Student Services Centre is where you go to register for courses, pay tuition and fees, print enrollment verification letters, accept awards issued to your account, see your grades, apply for graduation, and more. Once you login to the site using your CWL, you can find information on navigating the SSC on the bottom left of the page under 'Need Help?'. Timetable: You can view your class timetable on the Student Service Centre: click on Course Schedule > Registration > Timetable. When you click on the Timetable link you will see your timetable, and also a button that allows you to download your class timetable as an iCal file that can then be imported into most calendaring software: SSC screenshot We strongly recommend that you download your timetable into your personal online calendar, in order to help you with your daily time organization.

Canvas

This is where your Program Site is housed, and also your individual course sites. Your instructors will post information regarding the course schedule, readings, and assignments on their course site located on Canvas. To become familiar with using this resource, please take a look at this instructional material: A UBC Student's Guide to Canvas. You will see all courses you are registered into listed on the Dashboard after you login with your CWL. Clicking on a course name will allow you to enter the course website. Instructors may post the course outline, assignments, announcements, and grades. Your official grades for each course will be posted in SSC under the Grades tab. There is also a Canvas app available for download on your smartphone. You can download the Canvas Student app for Android smartphones on the Google Play Store here and for iPhones on the App Store here. Notification Settings in Canvas In Canvas, students get to decide how often they receive notifications about all sorts of things in their classes. You have the choice of being notified immediately, daily, weekly, or not at all when something is updated in your classes. You can click on the icons on the right hand side to set your notification preferences—the green icon is your selected setting. There’s no need to ‘save’ anything, as Canvas automatically updates your preferences. Due to the fast paced of the UBC PMBA program, we strongly recommend that you choose to receive a daily notification to your e-mail address. If you choose to be notified weekly instead, you may miss out on important opportunities with a tight turnaround time. You are responsible for your own academic journey and ensuring that you meet deadlines.

Faxing and Printing

Faxing services are available at Copiesmart in the UBC Village. The printer designated for students of the Robert H. Lee Graduate School is located outside Breakout Room 122A. For specific instructions on how to use the printer and the workstation, please click here. If you would like to load money onto your account in order to print, please click here. Please note that the printer name is "SAUD-HA122A" for black & white printing. If you would like to print in colour, please use the printer in the David Lam Library. For information on printing in any UBC library, please visit the UBC library website.

IT Troubleshooting

If you are experiencing problems with your wireless connection, or simply aren't able to connect to the UBC Wireless Network, please refer to the Wireless Troubleshooting page. If you don’t find a solution to your problem, you may contact UBC IT for support via:

The UBC Sauder Alumni Engagement (AE) office is a great resource to help you engage with a global network of over 40,000 UBC Sauder alumni. There are over 1,200 alumni volunteers willing to help enrich your education experience and professional development through speaking at conferences, leading a workshop, mentorship, networking at events and much more. The AE office works closely with faculty, staff and internal partners like the Hari B. Varshney Business Career Centre, Robert H. Lee Graduate School and the Undergraduate Office to support requests for alumni volunteers.
