Subject: Best Practices for Writing Professional Emails to Professors

Thank you for seeking out advice on writing emails. Here are some helpful suggestions for writing an email in the future.

  • Including a subject line will help the reader quickly determine the email’s content and significance.
  • Greeting your reader is a good and formal way to begin your email which also tells the reader, to who the email is addressed.
  • Introducing yourself will assist the reader in establishing the identity and purpose of the email.
  • Providing background with a concise introduction will help the reader understand the email’s purpose.
  • Eliminating unnecessary information so the email will be straightforward and concise.
  • Avoiding the use of “you” pronouns and imperatives in professional emails will help you not come off as demanding and friendly.
  • Avoiding the use of slang and acronyms in emails will help the writing be more formal and professional. The readers also might not be aware of the meaning which leads to miscommunication and confusion.
  • Writing formally and using a professional tone will leave a good impression.
  • Being accommodative will most likely help you receive a swift, positive response.
  • Concluding a brief sentence or two about the content of the email will effectively help the reader understand and improve the email.
  • Signing the email with a digital signature or full name and title will help the reader know with who to correspond the email.

Utilizing these suggestions will help you catch the reader’s attention and receive a timely response. If you have any further questions or concerns, please do not hesitate to contact me at piperkim13@gmail.com. Best of luck in composing future emails!

Warm regards,

Piper
