MEMORANDUM

July 14, 2022

To: Evan Crisp, UBC Undergraduate Student

From: Juanita Kwok, ENGL 301 Student

Subject: Best Practices for Effective Emails to Professors

Introduction

Thank you for seeking out advice from the ENGL 301 class. Since there has been a delay in response from your Professor, this e-mail provides suggestions on how to get into your desired course promptly.

List of Suggestions

To help you generate a quicker response from your professor, here are some guidelines to follow:

  • Adding a subject line will help your professor understand the nature of the e-mail upon receiving it
  • Using your school e-mail address will provide some credibility to your professor on who the sender is and he will feel a stronger urgency to respond
  • Avoiding the use of imperatives along with the “you” pronoun will help your e-mail sound friendly instead of condescending
  • Writing to your professor using formal language demonstrates respect and clarity on what you are asking for
  • Expressing gratitude for your professor’s time will increase your chances of reply and show your appreciation for him
  • Including information such as your name, e-mail, student number, and URL in an e-mail signature will give your professor enough details to enrol you in the course

Conclusion

Emailing professors can be a challenging task, but it can be learned with time and practice. The main takeaway point is remembering who the most important person is – your reader (professor)! If you have any questions, please e-mail me at juanita_kwok@hotmail.com. Good luck with your course registration.
