Subject: Best Practices in Writing Emails to a Professor

This memo outlines several strategies for writing a professional, courteous, and effective email. These tips can help you compose emails that elicit a more prompt response:

  • Using a business-related email address when emailing professors;
  • Addressing the professor by name and title out of courtesy and including a subject line that summarizes the email’s content;
  • Keeping emails concise and pertinent will help communicate the message more effectively;
  • Staying away from slang and abbreviations;
  • Properly indenting and spacing the email will make it easier to read;
  • Using appropriate salutations and concluding with “thank you” to convey respect and gratitude;
  • Adding a proper, formal closing and an email signature with your full name at the end of the message.

Effective email writing is crucial in academic settings. Following the above guidelines will simplify the task of emailing the professor and increase the likelihood of successful communication. Please contact me by email at mtang78@student.ubc.ca if you have any additional inquiries.
