War rooms can be used in both corporate and educational settings.<\/p>\n<h3><span style=\"color: #000000;\">What are war rooms and why use them?<a href=\"https:\/\/blogs.ubc.ca\/etec522makerspaces2013\/files\/2013\/10\/war-room.jpg\"><img loading=\"lazy\" decoding=\"async\" class=\"alignright size-medium wp-image-38\" style=\"border: 1px solid black;\" alt=\"\" src=\"https:\/\/blogs.ubc.ca\/etec522makerspaces2013\/files\/2013\/10\/war-room-300x211.jpg\" width=\"300\" height=\"211\" srcset=\"https:\/\/blogs.ubc.ca\/etec522makerspaces2013\/files\/2013\/10\/war-room-300x211.jpg 300w, https:\/\/blogs.ubc.ca\/etec522makerspaces2013\/files\/2013\/10\/war-room.jpg 640w\" sizes=\"auto, (max-width: 300px) 100vw, 300px\" \/><\/a><\/span><\/h3>\n<p>According to Wikipedia, a war room is any place that is used to provide centralized command for some purpose. Historically the term war room has been associated with military operations however the term can also be used in political, business and educational scenarios. In a political sense, the term &#8220;war room&#8221; is also often used to refer to teams of communications people who monitor and listen to the media and the public, respond to inquiries, and synthesize opinions to determine the best course of action.<\/p>\n<p>A war room approach is well suited to industries and educational settings where coordinating teams and resources is critical. More recently war rooms are growing in popularity for defining business strategies, driving business initiatives, trouble-shooting solutions to critical issues and fast-tracking team activities to meet highly compressed schedules.<\/p>\n<h3><span style=\"color: #000000;\">What do war rooms have to do with education?<\/span><\/h3>\n<p>War rooms are highly relevant to educational settings and can be used in a number of ways. Here are a few specific examples:<\/p>\n<ul>\n<li>In corporate training war rooms can be an effective means to brainstorm software courseware development issues as these collaborative spaces frequently include a courseware developer, a subject matter expert (instructor or developer), the IT project manager, and sometimes even a participant from the sales arm of the organization.<\/li>\n<li>War rooms are a highly effective way for groups to brainstorm certification exam questions.<\/li>\n<li>Post-secondary departments can utilize war rooms to debate and finalize class curriculums.<\/li>\n<li>War room approaches can be used to sequester educational colleagues in order to provide intense program capstone experiences.The Graduate Liberal Studies Program at Simon Fraser University offers such an opportunity with their annual Bowen Island Weekend Retreat Capstone where graduate students present final projects and reflect together on their collective and personal experiences over the course of their program.<\/li>\n<\/ul>\n<h3><span style=\"color: #000000;\">What does a successful corporate war room look like?<\/span><\/h3>\n<p>One of the best ways to envision a corporate war room is to peek at an example.<\/p>\n<h4><span style=\"text-decoration: underline;\">Matrix Group<\/span><\/h4>\n<p>The Matrix Group International is an Arlington, Virginia-based full-service web solution provider. One of the first considerations is whether you require a physical war room, a virtual war room, or a combination of the two. To get started, ask yourself the following questions:<\/p>\n<ol>\n<li>How urgent is the situation\/issue to be addressed? In other words, how long do you have to set up the war room and how long with the war room be needed for? Does this approach make sense?<\/li>\n<li>What resources (personnel) and equipment needs to be present in the war room?<\/li>\n<li>Where are these resources currently located? In the same office? In the same city or country?<\/li>\n<li>What would be the expense involved with bringing the team together to one physical setting? Is this feasible?<\/li>\n<li>Is there a suitable (size, location etc.) physical space available that can be set up as the war room?<\/li>\n<li>If you answer the above questions and virtual participation is required, does the team have access to reliable audio\/video\/web conferencing tools at an acceptable cost?<\/li>\n<li>If the tools are available, is the team familiar with their use? If not, how long will it take the team to ramp up on the selected tools?<\/li>\n<\/ol>\n<p>Depending on the answers to these questions, you can determine if a physical, virtual or combination war room is needed.<\/p>\n<h3>Setting up a physical war room<\/h3>\n<p>According to the Matrix Group, here are some tips for setting up a physical war room successfully<b>:<\/b><\/p>\n<ol>\n<li><span style=\"color: #000000;\"><strong>Make sure the right people are in the war room. <\/strong><\/span>For example, we find it helpful to always have a front-\u200b\u200bend\u00a0developer in the room because they can handle so many tasks and can\u00a0address the CSS issues that sometimes block developers.<\/li>\n<li><span style=\"color: #000000;\"><strong>Establish a deadline and a set of goals<\/strong> <\/span>so the team has a clear idea of what they need to get done, broken\u00a0down by day and\u00a0week.<\/li>\n<li><strong><span style=\"color: #000000;\">Free up people\u2019s schedules <\/span><\/strong>so they can spend time in the war room uninterrupted; it\u2019s too\u00a0distracting if people have to get up and leave all the time to sit in\u00a0meetings or take\u00a0calls.<\/li>\n<li><span style=\"color: #003366;\"><strong><span style=\"color: #000000;\">Keep the team well-nourished with snacks<\/span><\/strong>. <\/span>Don\u2019t forget healthy alternatives!<\/li>\n<li><span style=\"color: #003366;\"><span style=\"color: #000000;\"><strong>Make sure the collaborative space is big enough and well-\u200bli<\/strong><\/span>t <\/span>so that the team doesn\u2019t feel like they\u2019re in grim, cramped\u00a0quarters.<\/li>\n<li><span style=\"color: #000000;\"><strong>Set up the room with good technology<\/strong> <\/span>(monitors, good chairs, etc.) so that staff doesn\u2019t feel like\u00a0they\u2019re giving up the benefits of their own\u00a0space.<\/li>\n<li><span style=\"color: #000000;\"><strong>If you\u2019re the manager, you should probably be in the war room as\u00a0well. <\/strong><\/span>At the very least, spend part of your\u00a0\u00a0day in the war room or check in regularly.<\/li>\n<\/ol>\n<p><iframe loading=\"lazy\" src=\"\/\/www.youtube.com\/embed\/fXq3vKsH0n8?feature=player_detailpage\" height=\"360\" width=\"640\" allowfullscreen=\"\" frameborder=\"0\"><\/iframe><\/p>\n<h3>\u00a0Setting up a virtual war room<\/h3>\n<p>Web conferencing solutions allow teams to conduct real-time virtual collaboration sessions. Audio can be provided through the computer or mobile device by use of VOIP (voice-over-IP) or sometimes by an integrated phone audio solution.<\/p>\n<p>There are a number of virtual conferencing products available to allow virtual teams to meet and collaborate. If so, can you describe the task that the team was addressing and how the approach worked.<\/p>\n<p><strong>Discussion Summary:<\/strong> Based on the ETEC522 2013 Winter Term 1 cohort discussion regarding professional settings where the cohort has participated in a war room environment, some of the tasks that the teams discussed included:<\/p>\n<ul>\n<li><strong>Revamping the Computer Department\u2019s school curriculum<\/strong> to match the new government\u2019s education mandatde<\/li>\n<li><strong>Dealing with student discipline problems<\/strong> and trying to determine the root causes, and come up with strategies to try to deal with the behaviors<\/li>\n<li><strong>Getting a tender proposal finished<\/strong> for a deadline which requires collaboration of a few people<\/li>\n<li><strong>IT environments<\/strong> where the war room was used for discussing day to day activities, training, feedback and also for \u201cForced Fun\u201d which is time dedicated to a relaxing activity<\/li>\n<li><strong>Schools preparing for accreditation<\/strong><\/li>\n<li><strong>Fighting forest fires<\/strong>, where war rooms called command centers are used<\/li>\n<li><strong>Interactive agency topics\u00a0<\/strong>in the pre and post dotcom days<\/li>\n<\/ul>\n<p>Please view the cohort experience in the comments below.
