{"id":2486,"date":"2021-03-19T06:42:13","date_gmt":"2021-03-19T14:42:13","guid":{"rendered":"https:\/\/blogs.ubc.ca\/iiqbal\/?p=2486"},"modified":"2021-03-24T09:06:27","modified_gmt":"2021-03-24T17:06:27","slug":"inclusive-meetings-for-professionals","status":"publish","type":"post","link":"https:\/\/blogs.ubc.ca\/iiqbal\/2021\/03\/19\/inclusive-meetings-for-professionals\/","title":{"rendered":"Inclusive Meetings for Professionals"},"content":{"rendered":"<p>&nbsp;<\/p>\n<p><span class=\"s1\">I recently attended &#8220;<\/span><a href=\"https:\/\/aaps.ubc.ca\/member\/events\/guide-inclusive-meetings-professionals\">A Guide to Inclusive Meetings for Professionals<\/a>&#8221; facilitated by Cicely Belle Blain (love their name!).<\/p>\n<p>My goal was, of course, to learn more about this topic so that I can create, host, and lead more inclusive meetings.<\/p>\n<p>One of my favourite ways of processing information is to write about what I&#8217;ve learned. To that end, here are a few notes from the workshop.<\/p>\n<p><a href=\"https:\/\/blogs.ubc.ca\/iiqbal\/files\/2021\/03\/pexels-elevate-digital-1647919.jpg\"><img loading=\"lazy\" decoding=\"async\" class=\"size-medium wp-image-2491 alignnone\" src=\"https:\/\/blogs.ubc.ca\/iiqbal\/files\/2021\/03\/pexels-elevate-digital-1647919-300x169.jpg\" alt=\"\" width=\"300\" height=\"169\" srcset=\"https:\/\/blogs.ubc.ca\/iiqbal\/files\/2021\/03\/pexels-elevate-digital-1647919-300x169.jpg 300w, https:\/\/blogs.ubc.ca\/iiqbal\/files\/2021\/03\/pexels-elevate-digital-1647919-1024x576.jpg 1024w, https:\/\/blogs.ubc.ca\/iiqbal\/files\/2021\/03\/pexels-elevate-digital-1647919-768x432.jpg 768w, https:\/\/blogs.ubc.ca\/iiqbal\/files\/2021\/03\/pexels-elevate-digital-1647919.jpg 1280w\" sizes=\"auto, (max-width: 300px) 100vw, 300px\" \/><\/a><\/p>\n<h3><strong>Inclusive meetings are <span class=\"s1\">needs-based, foster <\/span><span class=\"s1\">trust and honour <\/span><span class=\"s1\">intersectionality<\/span><\/strong><\/h3>\n<p class=\"p1\">Some questions to ask myself when I design a meeting:<\/p>\n<ul>\n<li>If trust is built when people&#8217;s <strong>needs<\/strong> are heard and met, how do I determine people&#8217;s needs and then help them meet these?<\/li>\n<li>If trust is built when people are able to contribute, what do I need to do to allow for this?<\/li>\n<li>How do I plan for and foster <strong>trust<\/strong> within my meeting design?<\/li>\n<\/ul>\n<h3 class=\"p2\"><strong>Power<\/strong><\/h3>\n<p class=\"p2\">The facilitator created a helpful visual that summarizes 3 types of power: social, systemic and personal.<\/p>\n<p><a href=\"https:\/\/blogs.ubc.ca\/iiqbal\/files\/2021\/03\/CB.Inclusive-Mtgs-March-5-2021.png\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter wp-image-2494 size-full\" src=\"https:\/\/blogs.ubc.ca\/iiqbal\/files\/2021\/03\/CB.Inclusive-Mtgs-March-5-2021.png\" alt=\"\" width=\"661\" height=\"421\" srcset=\"https:\/\/blogs.ubc.ca\/iiqbal\/files\/2021\/03\/CB.Inclusive-Mtgs-March-5-2021.png 661w, https:\/\/blogs.ubc.ca\/iiqbal\/files\/2021\/03\/CB.Inclusive-Mtgs-March-5-2021-300x191.png 300w\" sizes=\"auto, (max-width: 661px) 100vw, 661px\" \/><\/a><\/p>\n<p>(shared with permission from the facilitator)<\/p>\n<h4><strong>Inclusive meetings redistribute power\u00a0<\/strong><\/h4>\n<p class=\"p2\"><span class=\"s1\">Personal power is the easiest to re-distribute. Therefore, we need to think about how <\/span><span class=\"s1\">we can instill personal power onto others. The facilitator provided some ideas:<\/span><\/p>\n<p class=\"p2\"><strong><span class=\"s1\">Ways to redistribute power<\/span><\/strong><\/p>\n<ul>\n<li class=\"p2\"><span class=\"s1\">Collaborate on the agenda<\/span><\/li>\n<li class=\"p2\"><span class=\"s1\">Notice what is selected as a priority and what is put on hold. Question.<\/span><\/li>\n<li class=\"p2\"><span class=\"s1\">Value lived experience as knowledge<\/span><\/li>\n<li class=\"p2\"><span class=\"s1\">Take a needs-based focus<\/span><\/li>\n<li class=\"p2\"><span class=\"s1\">Practice mentorship as a value rather than restricting it to a formal process<\/span><\/li>\n<\/ul>\n<p><span class=\"s1\">Practicing mentorship as a value, within the context of inclusive meetings, can look like:<\/span><\/p>\n<ul>\n<li><span class=\"s1\">recognize when to advocate<\/span><\/li>\n<li class=\"p2\"><span class=\"s1\">notice harmful dynamics and step in<\/span><\/li>\n<li class=\"p2\"><span class=\"s1\">uplift and spotlight others\u2019 ideas<\/span><\/li>\n<li class=\"p2\"><span class=\"s1\">give frequent and consistent praise<\/span><\/li>\n<li class=\"p2\"><span class=\"s1\">help other prepare for a meeting and debrief<\/span><\/li>\n<li class=\"p2\"><span class=\"s1\">give people time to plan<\/span><\/li>\n<\/ul>\n<p class=\"p2\"><strong><span class=\"s1\">Honouring people&#8217;s lived experiences in a meeting\u00a0<\/span><\/strong><\/p>\n<ul>\n<li class=\"p2\"><span class=\"s1\">honour what people bring<\/span><\/li>\n<li class=\"p2\"><span class=\"s1\">accept (welcome) vulnerability and chaos (e.g., working from home during COVID)<\/span><\/li>\n<li class=\"p2\"><span class=\"s1\">encourage sharing personal stories<\/span><\/li>\n<li class=\"p2\"><span class=\"s1\">open with a meaningful check-in and close with inspiring check-out<\/span><\/li>\n<li class=\"p2\"><span class=\"s1\">affirm people&#8217;s decisions around boundaries (note: we have a lot of notions about what \u201cprofessionalism\u201d looks like)<\/span><\/li>\n<\/ul>\n<p class=\"p2\"><strong><span class=\"s1\">Needs-based resources in a meeting<\/span><\/strong><\/p>\n<ul>\n<li class=\"p2\"><span class=\"s1\">ensure people have the right set up to be present<\/span><\/li>\n<li class=\"p2\"><span class=\"s1\">schedule when it works for people<\/span><\/li>\n<li class=\"p2\"><span class=\"s1\">encourage feedback during and after<\/span><\/li>\n<li class=\"p2\"><span class=\"s1\">circulate the agenda<\/span><\/li>\n<li class=\"p2\"><span class=\"s1\">be willing to shift and change plans<\/span><\/li>\n<li class=\"p2\"><span class=\"s1\">allow people to participate in a way that makes sense for them<\/span><\/li>\n<\/ul>\n<h3 class=\"p2\"><span class=\"s1\">Favourite quote from the workshop<\/span><\/h3>\n<blockquote>\n<p class=\"p2\"><span class=\"s1\">&#8220;Urgency is often more of a mentality than a reality&#8221;<\/span><\/p>\n<\/blockquote>\n<h3 class=\"p2\"><span class=\"s1\">Unconscious Bias\u00a0<\/span><\/h3>\n<ul>\n<li class=\"p2\"><span class=\"s1\">Deeply rooted<\/span><\/li>\n<li class=\"p2\"><span class=\"s1\">We can\u2019t eradicate<\/span><\/li>\n<\/ul>\n<p>Question to ask yourself: \u201cDo you hold onto that bias because it keeps you safe or because it keeps you comfortable?\u201d<\/p>\n<p class=\"p2\"><strong><span class=\"s1\">Some forms of bias<\/span><\/strong><\/p>\n<ol>\n<li class=\"p2\"><span class=\"s1\">HIPPO Bias (<\/span><span class=\"s1\">looking to the highest paid person for their opinion)<\/span><\/li>\n<li class=\"p2\"><span class=\"s1\">Affinity Bias (s<\/span><span class=\"s1\">eeking comfort in those who are like us)<\/span><\/li>\n<li class=\"p2\"><span class=\"s1\">Confirmation bias (<\/span><span class=\"s1\">We seek answers we already believe are true)<\/span><\/li>\n<li class=\"p2\"><span class=\"s1\">Dunning-Kruger Effect (<\/span><span class=\"s1\">Overconfidence in skills we lack)<\/span><\/li>\n<li class=\"p2\"><span class=\"s1\">Bandwagon Bias (<\/span><span class=\"s1\">We\u2019re more likely to believe something if many others believe it too)<\/span><\/li>\n<\/ol>\n<p class=\"p2\"><span class=\"s1\">Biases don\u2019t have to be harmful, but they can be. <\/span><span class=\"s1\">The intention is often to preserve status quo.<\/span><\/p>\n<h3 class=\"p2\"><strong>Workshop follow up resources<\/strong><\/h3>\n<ol>\n<li class=\"p2\"><span class=\"s1\">Detour spotting (form of micro aggression; &#8220;Attitudes or behaviours that signal a detour or wrong turn into shame, denial or defensiveness&#8221; &#8211; Jona Olsson). <a href=\"https:\/\/culturalbridgestojustice.org\/detour-spotting-2\/\">See the Cultural Bridges to Justice Website<\/a><\/span><\/li>\n<li class=\"p2\"><a href=\"https:\/\/www.showingupforracialjustice.org\/white-supremacy-culture-characteristics.html\"><span class=\"s1\">White supremacy characteristics<\/span><\/a><\/li>\n<li>Book: Crucial conversations<\/li>\n<\/ol>\n<p class=\"p2\">\n","protected":false},"excerpt":{"rendered":"<p>&nbsp; I recently attended &#8220;A Guide to Inclusive Meetings for Professionals&#8221; facilitated by Cicely Belle Blain (love their name!).
