Hello Evan,
As requested, here is the memo regarding best practices for requesting placement in an at-capacity class. After reading your e-mail directed towards Professor Lambert, I would like to offer some tips on how to write with YOU attitude to improve your communications. These principles result in more professional e-mail correspondence.
Tips for Writing Professional Emails:
- Using a business e-mail instead of a personal e-mail address will ensure that your e-mail is not filtered out as spam
- Including an appropriate subject line with the course name and number will allow the reader to quickly understand the contents of the e-mail
- Addressing the recipient as “Professor” or “Dr.” in your salutation will establish a professional and respectful tone
- Organizing the e-mail into a clear introduction, body, and conclusion will increase readability
- Justifying your request with a practical reason rather than with personal preference will increase the likelihood that it will be granted and reduce the chance that the reader will be offended
- Avoiding abbreviations, slang, and writing complete sentences will increase professionalism and make the e-mail easier to read as the receiver can save time interpreting the message
- Refraining from using imperative verbs and demanding language will make the reader feel valued and reduce this chance of receiving a negative response
- Ending the correspondence with a conclusion, thanking them for their time, and adding a formal closing line will create a polite tone and demonstrate appreciation for the reader
