Subject: Writing Effective E-mail Messages

Below are some suggestions complied to help achieve effective yet professional communication with Professor Lambert:

  • Using a work or school email address will help the professor to identify your email as a reliable source. Having a professional email address will also be less likely to be filtered out as spam.
  • Addressing recipients by their name and title, such as Professor or Dr., establishes a professional and respectful tone
  • A clear and concise subject line with the course number will allow the professor to easily understand the purpose for the email
  • Similarly, providing a brief introduction of yourself will also allow the professor to better understand the intent of the email
  • Showing an interest in the course by highlighting the ways in which the course would benefit your educational and career goals will help to persuade the professor
  • Maintaining a professional and courteous tone throughout the email is imperative when making a request from the professor. This also includes omitting slang and jargon such as “ttfn”
  • Closing the email by expressing appreciation towards the professor is a courteous gesture and provides an effective final impression
  • Consider excluding personal details such as vacation plans. This allows the email to be concise and the subject matter focused
  • Signing the email with your full name and student number or with a signature block is professional and supplies the professor with necessary information
