  • Sending the request from a simple email address that only includes a name. Including numbers and initials is acceptable if they do not have potentially negative connotations.
  • Beginning the email message with a professional greeting and addressing the recipient by their proper title, such as Dear Dr./Mr./Ms. Last Name.
  • Structuring the email with complete but concise paragraphs and sentences so it can be understood quickly.
  • Emphasizing important information by using bullet point lists or briefly reiterating key points at the end of the email.
