Wifi
Use the “eduroam” wifi network and login with your credentials if you have access through your home institution. Otherwise use the “ubcvisitor” network.
Panels and Papers
Each session has an assigned chair who was sent your email address and will reach out to you in advance of the conference. You will need to either 1) send your slides to the chair of your session so that they can use their laptop to project all presentations or 2) come prepared to connect your own laptop to the room projector.
Virtual Presenters
A small number of sessions will have presenters joining via zoom. The chairs of these sessions and all presenters will be sent a zoom link and additional guidance ahead of the conference. Virtual presenters will be able to share slides and see in-person attendees on room cameras.
Please note, we are unable to accommodate attendance online. Only those who have arranged to present virtually will be able to access these zoom links.
Workshops
All workshops will be capped at 35 participants (to accommodate room size) and a sign up will be circulated in advance. People will be able to sign up for a waitlist in case spaces become available. We will provide you with a list of participants in advance and will also post one to the door of the room where the workshop will be held.
Workshops will be held in the Terrace Lab in the UBC School of Information on the 4th floor of the IK Barber Learning Centre, the building where most AERI activities will take place.
The iSchool has keyed access so you will need to buzz in. We plan to have a UBC iSchool student volunteer on hand to help people get access to the school and find the room. The room is equipped with AV. It has several large round tables around which participants can sit, so group work is easy to facilitate. There are white boards on one wall of the room.
Posters
All posters should be printed 48 inches wide by 36 inches tall. There is a poster printing service on campus at Copy Smart and if you are arriving early in the week, you should have ample time to get your poster printed here if you prefer that to traveling with them.
Please set up your posters in the morning on Thursday, July 23. The posters will be set up on the second floor of the IK Barber Learning Centre, where most of the AERI activities will take place. There will be clear signage and UBC volunteers to help you find the place and get set up.
Audio-Visual (AV)
All rooms are equipped with AV. We will have microphones available for speakers and for Q&A. Please use the mic.
The room AV systems have options for both HDMI and USB-C connections. If your laptop does not have an HDMI or USB-C port, please bring your own adapter. Please note that those without a UBC login are unable to use the “Room PC” option.

Microphones
Each room (except the Terrace Lab) is equipped with handheld and lapel microphones. Please use a microphone during your presentation so all attendees can hear you.
All microphones use AA batteries and extras will be available in each room if needed. You need to manually turn on each microphone and then go to the “mics” tab on the AV system. More information is in the AV guide above.
Day Of
In order to have time to set things up and start the session on time, please arrive at the room for your session 15 minutes before it is scheduled to start.
We are doing our best to have UBC student volunteers available in every session in case chairs or presenters should need anything.
For presentations in Irving K. Barber, if there are technical issues go to the help desk located on the 3rd floor.
