  • Proofreading to ensure there are no grammatical errors, typos or informal abbreviations
  • Using the pronoun “you” in the introduction and conclusion only to make a positive impression on the reader, but avoiding it in the body
  • Focusing on “us” instead of “you” to avoid singling the reader out
  • Refraining from using imperatives because they give advice, and the purpose of the email is to give information
  • Ending the message with name, contact information and student number
