Class List Upload Guide

If your school is not having your class list information automatically uploaded through MyEducationBC, please follow the instructions below.

The Class List Template must be filled out accurately in order to have a successful upload.  Please follow the instructions below and reference the Class List Upload Guide for assistance in uploading your class list to the e-EDI system. Step 1: Attend the e-EDI Training Webinar. The last section of the e-EDI Training Webinar will show you the steps to successfully uploading the class list upload template to the e-EDI system. You can review this webinar recording below.

Step 2: Log into the e-EDI system and download the Class List Upload Template.

  • Log into the e-EDI System.
  • On the home page, scroll down and select your school.
  • In the top right-hand corner, click the “Options” dropdown menu and select, “Upload class list (EDI Class List Template.xlsx)”.
  • Download the template by selecting “Please download this file to upload your class list”.

Step 3: Open the EDI Class List Template and begin adding the necessary information. Please note that the columns in Red are required fields. The green columns are optional. Other items to note:

  • The mincode must include the leading zero (ex. 08654321). If you are having trouble keeping the lead zero, you will need to format the cell. You can do so by right-clicking on the cell and click “Format Cells…”. In the selection box, select “Text” and click “Ok”. The cells in this field should already be set to “Text” to avoid this issue.
  • Teacher 2 information is optional. If a classroom has a timeshare, please add both teachers.
  • In the “Aboriginal” column, ensure you have correctly put in the “code”. Spacing is important. If a child does not have an Aboriginal identification in their records, leave this cell blank.
  • For the special needs column, refer to the Class List Upload Guide to reference the codes.

Step 4: Save the completed Class List Template somewhere easily accessible on your computer (Ex. Desktop).

Step 5: Upload the completed Class List Template to the e-EDI System.

  • Navigate back to the same place you downloaded the template: Log into the e-EDI System.
  • On the home page, scroll down and select your district.
  • In the top right-hand corner, click the “Options” dropdown menu and select, “Upload class list (EDI Class List Template.xlsx)”.
  • Click “Choose File”.
  • Locate your Class List Upload Template file and click “Open”.
  • Back on the e-EDI system, click “Upload”.

Step 6: Success! You will receive a notification that your class list has been successfully uploaded. You are now able to go into each school/class and review/edit your student’s information in the e-EDI system.

If you encounter an error message:

If a field has been filled out incorrectly, you will receive an error message when uploading the excel spreadsheet into the system. The error message will tell you what column and row the error has occurred. You are able to reopen your excel spreadsheet to investigate the highlighted issue.
