Teacher Reimbursement Guide

Teachers who participate in the EDI questionnaire will be eligible to receive reimbursement for their time spent filling out the questionnaire on their students and for attending the required training. School Districts and Schools typically offer the following options for reimbursement:

» TTOC Time
» Time in lieu
» Buy-out of the teacher’s time

It is up to the School District or Independent/Indigenous School to determine what option (or options) is most suitable for their situation.

Step 1: HELP will email you an invoice for your 0.5 and 0.4/0.6 payment schedule. Please select the invoice with the appropriate payment schedule for your school or school district.

Step 2: Complete the relevant fields in the Teacher Reimbursement Invoice.

  1. Enter your district number, your name, and kindergarten enrollment into the header.
  2. Enter in the Teacher/TTOC Rate.
    • If you are using an average daily teacher rate/TTOC (recommended for large districts), fill in the lowest and highest rates. The invoice will automatically calculate the average daily rate and will fill that rate into the invoice.
    • If you are using the real rate of the teacher/TTOC, please enter the appropriate Daily Rate for each Teacher below. This rate can include the teacher’s benefits package.
  3. Add the training that each teacher participated in.
    • Teachers new to the EDI questionnaire:
      • In-person, district led = 0.5 days
      • HELP led webinar = 1 hour (3 EDIs)
    • Teachers experienced with the EDI questionnaire:
      • Two short refresher videos and 1 resource = 20 minutes (1 EDI)

Step 3: Email the completed invoice to edi@help.ubc.ca before April 1, 2024.

Step 4: Once you have received the confirmed totals from the EDI team, please return a completed letterhead PDF (attached to the same email) by April 15, 2024.

FAQs

What are the Teacher Reimbursement options?

We recognize the value of teacher’s expertise in completing the EDI questionnaire and we have worked to provide flexible arrangements for compensating Kindergarten teachers. Coverage for teacher/TTOC time is calculated by the number of EDI questionnaires completed and time spent in training.

Teachers can be compensated with time off to participate (requires TTOC availability), with time in lieu and/or be paid out, at the discretion of the district. School districts invoice HELP for the teacher/TTOC replacement costs for Kindergarten teacher participation.

Can we use an average rate?

Yes. Enter your lowest daily rate and highest daily rate into the invoice and it will automatically calculate the average rate. Please provide reasoning for the Teacher Reimbursement rate you use in the signed letterhead PDF.

Can teachers take time in lieu?

Yes, so long as HELP is billed by the deadline. Consider using an average rate even if just for the teachers taking time in lieu. Teachers can take their time off anytime during the school year.

Can teachers take a pay-out by using their time in the evening and weekends?

Yes, so long as HELP is billed by the deadline. Consider using an average rate even if just for the teachers taking a buy-out for their time.
