The planning committee is busy preparing for a fun and relaxing picnic, with lots of food, grilled salmon, corn-on-the-cob, smokies, hotdogs, hamburgers, salad, chips, fresh fruit, drinks and of course, cake to celebrate our June birthdays!

Uncollected initial payroll cheques (pre-2017)

It came to light that some UBC employees have not collected their initial payroll cheques prior to December 31, 2016.

We have contacted, by mail, all current employees who are affected and are replacing the uncollected payments, with interest, through our standard payroll runs on June 15 and June 23, 2017. You will receive a letter with details if you are affected. If you have not received a letter, you are not affected.

Inquiries can be directed to info.cheques@ubc.ca or 604 827 2731 to answer any questions. We will endeavour to respond as soon as possible; however, response times may vary depending upon call volumes. We appreciate your patience.

If direct deposit is not in place for a new employee, our revised practice is to mail out all initial payroll cheques to the address on their HRMS file. We also contact new employees to secure their direct deposit as soon as possible after they commence employment.

If you started working at UBC after July 31, 2016, this will not affect you as we have mailed out any cheques dated thereafter.

Amounts unclaimed by former employees who left the university between April 14 and July 31, 2016 have been submitted to the Employment Standards Branch. These former employees are advised to contact the Employment Standards Branch:

Employees who left UBC prior to April 14, 2016 are advised to review the database on the BC Unclaimed Property Society website or email info@unclaimedpropertybc.ca.

LFS Major (Greater Than $10,000) Awards Application

The application for the 2017-2018 LFS Major (Greater Than $10,000) Awards has been posted on the LFS website.  Please note that this application is also used for any current PhD student who wants to apply for a 4YF (refer to “Guidelines for Ranking and Reviewing 4YF Applicants”).

Please note the deadline to submit a completed application is Friday, July 14, 2017.  As we are working with a very tight timeline to ensure awards are assigned by early September, we cannot accept late or incomplete applications.

Change to Income Tax Withholding for Fellowship Appointments

This message is to notify graduate programs of a recent change to how UBC withholds income tax for some student and postdoctoral fellowship appointments.

Specifically, effective 31 May 2017 onward, UBC will no longer automatically withhold income tax for appointments with the “FEL” (fellowships) earnings code. Those affected will continue to have their fellowship income reported via a T4A form each spring.

This change was prompted by a review of current UBC practice and the resulting conclusion that this change is necessary to bring UBC into compliance with Canada Revenue Agency tax policy.

This change will affect the following groups:

  • Students with an NSERC USRA (Undergraduate Student Research Award) appointment
  • Students with a Graduate Research Assistant (GRA) appointment
  • Students with a Graduate or Undergraduate Teaching Assistant (GTA or UTA) appointment – 20% of GTA earnings are coded as fellowship earnings and tax will no longer be withheld against those earnings; tax will continue to be withheld against the remaining 80% (coded as regular earnings)
  • Postdoctoral fellows supported by a competitive (award) fellowship (as opposed to a postdoctoral fellowship paid from a supervisor’s grant)

Though income tax will no longer be automatically withheld from fellowship earnings, students and postdoctoral fellows may request that tax be withheld by submitting a TD1 form (and a TD1BC form, if applicable) to UBC Payroll. The forms are to be submitted as original, hard-copy documents to the Payroll office (5th Floor- TEF3, 6190 Agronomy Road, Vancouver, BC V6T 1Z3).
