Hello Priyanka,
Thank you for your memo to Evan Crisp regarding suggestions about emailing professors. It is very well written and well formatted, but could be improved with the suggestions outlined below.
First Impressions
This memo has every component of a good memo, including the title, bullet points, a short intro, and a good summary. The tone is professional and the suggestions seem very helpful.
Format
The formatting is very clean and well-organized, and contains all elements required for a memo
Content (suggestions)
The suggestions provided are well thought-out. They broadly cover email best practices and also go into detail about the elements of a good email.
Writing with You Attitude
The tips provided are very helpful. However, they could be modified to comply with the Writing with You Attitude format, specifically:
- The tips should be modified to use other phrasing in place of imperatives
- For example, instead of writing “Use academic or professional email address,” “Academic or professional email address should be used” can be written
- Another example: “Respect professor’s time and attention,” can be written as “The professor’s time and attention should be respected”
- The negative can be rephrased into the positive
- For example, “Avoid sharing unnecessary information to save reader’s time,” can be rephrased as “Only necessary information should be included to save the reader’s time”
- “Don’t be sloppy and careless” can be rephrased as “Be attentive to grammar and use proper sentence structures”
- Personal pronouns were avoided very well in this assignment
