Thank you for the opportunity to read your memorandum to Evan Crisp concerning best professional email practices. In accordance with Assignment 3.1, this memorandum is written with a ‘You’ Attitude in mind, and is respectful towards Evan Crisps’ request for help while providing clear suggestions.

Organization

This memorandum is clearly organized, and subheadings clearly group together suggestions for improvement.

Writing Style/ Tone

The tone if this memorandum is very professional and makes suggestions in a respectful manner. The ‘You’ attitude is embodied throughout and all imperative verbs are edited to ‘-ing’ verbs. A few further suggestions are outlined below:

  • Editing for concise sentence structure would increase coherency. For example,  “explaining the benefit to the reader of complying with your request,” could be changed to “explaining how your request would benefit the reader.”
  • The theme of appreciation is mentioned in two different points under “Tone.” Merging them into the same bullet point would be more concise.

Grammar

In terms of formatting, grammar and punctuation are consistent throughout the memorandum. The beginning of each bullet point is capitalized, and the end of each point ends in a period, creating a very readable format. Small edits in grammar could be made to create a clearer message.

  • Staying within a specific tense within sentences helps with readability. For example, “Specificity helps the reader understand precisely what is being requesting,” could be changed to, “Specificity helps the reader understand precisely what is being requested.”
  • In the second sentence, capitalizing the P in Professor is consistent with all following mentions of Professor Lambert.
